Meeting packs often grow one attachment at a time. An agenda arrives first, then a report, then a replacement chart. By the time the pack is ready to send, the pages may be out of order or include an older version that nobody should be reviewing.
FileStation's PDF organizer gives you a visual workspace for preparing a cleaner sharing copy. You can see the pages, move them into the meeting's order and remove whole pages that no longer belong.
Start with the agenda and the correct versions
Before editing, collect the approved versions of the documents and decide on a reading order. A useful starting point is the agenda followed by its supporting papers in the same sequence. This is a workflow suggestion, not a rule: use the structure your team expects.
If reports are still separate files, open the first PDF and use Add PDFs / Merge to bring in the rest. Keep the originals available so you can compare dates and headings while reviewing the combined pack.
Delete unwanted pages by sight
Open the Pages view and inspect the thumbnails. Select repeated covers, unnecessary blank sheets or an outdated insert, then choose Delete selected. If you spot a mistake immediately, use Undo before leaving the workspace.
Blank pages sometimes have a purpose, such as keeping a section on the right-hand side when printed double-sided. Ask whether the pack is for screen reading or printing before deleting them all. The editor also lets you insert a blank page after the current one if you need that spacing.
The Delete PDF pages tool provides a direct route to the same kind of visual task. Whole-page deletion changes the working document, not the source file saved on your device.
Put the remaining pages in a useful order
Drag page grips to move the papers into sequence. On a phone, use the touch grip, or choose Move earlier and Move later in the page properties if that is easier. Rotate sideways scans so readers do not have to turn their screens.
Check section boundaries at full preview size. Similar thumbnails can hide an important distinction between a draft and a revised page. FileStation does not automatically decide which version is correct.
Add page references after the order is final
If your team uses page references in the agenda, settle the order before adding numbers with Add page numbers. Choose a position that does not cover existing content, then check the result. These are visible printed labels, not a new table of contents or internal PDF navigation structure.
When only a section is needed for a follow-up, use the split and extract workflow to prepare that copy.
What should I check before emailing the pack?
Open the exported PDF and compare its sequence with the agenda. Check that the revised pages are present, old inserts are gone, scans are readable and any added page numbers match your references. Keep signed source documents: editing may change links, forms and digital signatures. Save the result in your team's normal storage before closing the tab.
Do we need to buy a PDF editor for this task?
FileStation's current browser PDF tools are free for these page-organization tasks. There are five guest downloads per browser, with sign-in required afterwards when available; see plans and account availability. Your organization may still require approved desktop or specialist software for other work. You can try the organizer's example PDF before opening company documents.
