A combined scan is convenient when collecting paperwork. It is less convenient when each recipient needs a different part. A project coordinator might receive one PDF containing a cover sheet, several project updates and supporting schedules, then need to prepare a separate file for each project team.

FileStation lets you work from visible page thumbnails. You can mark where a document should split or select just the pages needed for one recipient, without typing a page-number range.

Choose between split and extract

Use Split PDF when the document contains consecutive sections and you want several output files. For example, you can divide a pack after each project's final page. The resulting PDFs are delivered together in a ZIP archive.

Use Extract PDF pages when you want one new PDF containing selected pages. This is useful when the relevant pages appear in different places, such as a project overview near the beginning and its schedule at the end.

Neither choice changes the original file stored on your device. Keep that original while preparing and checking the new copies.

Split at visible section boundaries

Open the combined document in Split PDF and switch to Pages. Review the actual page content to find each section's end. Covers and inserts can make a printed page number different from its position in the file.

Choose Cut after below the last thumbnail of each section. Open the export centre, choose Separate PDFs (ZIP), then select At marked cuts. Check the number of output PDFs shown before preparing the download.

Save the ZIP, extract its contents on your device and inspect each PDF. Rename the parts so they identify the project or recipient clearly. Do not send the entire ZIP when someone should receive only one of its documents.

Extract one recipient's pages instead

For a single sharing copy, select the required thumbnails and choose Extract selected. In the export centre, check that the scope is Selected pages and the format is PDF document. Review the selection before preparing and saving the file.

Extraction follows the pages' current order in the workspace. If the overview and appendix should appear differently, rearrange them in the editor before exporting. Our office paperwork guide explains how organization, merging and extraction fit together.

Check the attachment and the recipient together

A correctly split document can still be sent to the wrong person. Reopen the exact attachment you are about to send and check its title, first and last pages, and any pages containing names or project details.

  • Confirm that the intended recipient needs every included page.
  • Check that the next section has not slipped into the end of the file.
  • Give the output a recognizable name instead of relying only on part numbers.
  • Use your organization's approved sharing method.

Does splitting remove confidential information inside a page?

No. Splitting and extraction select whole pages; they do not redact content or certify that a file is safe to share. If one page mixes information for different recipients, use an approved redaction workflow. Drawing a white box over text or cropping the page is not secure redaction.

Is splitting free, and does every part count as a download?

The current PDF tools are free. A generated ZIP counts as one result within FileStation's five guest downloads per browser. Further downloads require sign-in when available; check the allowance and account availability. Save and inspect the extracted PDFs before closing the working tab.
