You have finished the paperwork, but the receiving portal rejects the attachment or the email needs a smaller file. The useful next step is to understand the requirement, then prepare a readable copy that meets it.

Read the receiving instructions first
Check the accepted file format, maximum size and whether the limit applies to each attachment or all attachments together. Some recipients need one combined PDF; others require a separate file for each document. Follow those instructions before merging or splitting anything.
Also check what content is required. Removing an essential appendix just to reduce the size may create a smaller file that is no longer a complete submission.
Prepare the right pages before compressing
Open Organize PDF to check page order, remove accidental duplicates and rotate sideways scans. If only specific pages are requested, use Extract PDF pages to make one focused copy. If all supporting PDFs must be submitted together, merge them into a pack first.
This step is about relevance and completeness. Do not repeatedly compress a document that contains the wrong pages: fix the pack itself, then work on its size.
Choose compression that suits the document
In Compress PDF, start with Keep text & page content for a report containing selectable text. This option optimizes the PDF structure without reducing image resolution. Savings can be modest, especially if the source file is already efficient.
For an image-heavy scan, the image compression method can produce a smaller result. Start with balanced settings and inspect the smallest text. Lower resolution and stronger image compression may make handwritten notes, reference numbers and faint stamps harder to read.
Image compression turns pages into pictures. It removes selectable text, active links, fillable fields and existing digital signatures. Use a different approved workflow when those features must remain. Keep the original whatever method you choose.
Treat a target size as a request
You can enter a target size for the compressor to work towards, but not every document can reach every target and remain useful. A long, detailed scan may need more space than a short text report. FileStation keeps the original as the result if compression would make it larger.
If you still cannot meet the receiving limit, check whether separate attachments are allowed or ask the recipient for an approved alternative. Avoid sacrificing readability just to make a size indicator turn green.
Verify the saved file, not just the preview
Prepare the result, download it and reopen the saved copy. Check its actual size, page count, orientation and important details. Does a smaller PDF guarantee that an upload will work?
