A rejected PDF does not always need stronger compression. First read the receiving website’s error message: file size, accepted format and document requirements are different problems. Keep the original and make a separate working copy.

1. Check the limit on the actual upload field

A website may set different limits for different attachments. Check whether the limit applies to each file or the whole submission, and whether it accepts PDF at all. Follow that website’s instructions rather than a general guide. Do not rename a JPG to end in .pdf; changing its name does not convert its contents.

2. Check that the file opens

Open the exact file you intend to submit in a PDF reader. A zero-byte file, interrupted download or document that will not open needs to be downloaded or exported again. Compression is not a repair tool for every damaged PDF.

3. Remove pages only when permitted

If the recipient needs selected pages, use Extract PDF pages to create a shorter copy. Do not remove required pages, declarations or supporting information just to meet a size limit. Our guide to choosing between split and extract explains which output to use.

4. Try content-preserving compression first

Open Compress PDF and choose Keep text & page content. This is a sensible first attempt for documents with selectable text. It can produce modest savings; an already optimized PDF may barely change.

5. Check restrictions and signatures

Some receiving services reject protected or otherwise unsupported documents. Ask the document provider for an appropriate copy if necessary. Do not change a signed document casually: editing or converting it may invalidate its existing digital signature. Filestation does not bypass password protection.

6. Use a clear filename and the correct saved copy

Choose a simple name such as application-supporting-documents.pdf, following any filename rules shown by the recipient. Check the saved file’s size rather than the size of your original. If you are using an iPhone, follow the PDF download guide to find the exported copy.

7. Reopen the result before submitting

Check page count, orientation and readability. If the file meets the published requirements but still fails, try the receiving website’s supported browser or contact its support team with the error message. Avoid repeated compression when the underlying issue is unrelated to size.
